Team members and roles

Invite your newsroom to your account as editors or viewers, each signing in with their own email.

Share your account with your newsroom. Everyone signs in with their own email and has their own password and two-step settings.

RoleWhat they can do
OwnerEverything, including billing, the team, switching on automatic publishing, removing sites, the account's details and emails, and exporting or deleting the account.
EditorAdd sites, connect WordPress or Ghost, manage sources, use Scout, change settings, run, pause and turn on sites.
ViewerSee sites, sources, drafts and Scout's chat, without changing anything.

Everyone can manage their own sign-in and contact support, and members can leave the team.

An invitation not yet accepted takes a seat too. On a plan with one seat, the Team card doesn't show.

Invite someone

  1. Open the Account page and find Team.
  2. Under Invite by email, enter their address and choose Editor or Viewer.
  3. Press Invite.

They get an email with an Accept the invitation button that works once, within 7 days. On the page it opens, they press Join and sign in. If it runs out, the owner can press Resend next to their name. They can also choose Use my own account instead, which starts an empty account of their own and drops the invitation.

If an invitation can't be sent

MessageWhy
That address already uses Sudwire with another account. An address belongs to one account only. It has its own account, or is on another team.
That address is already on your team. Use Resend to send the invitation again. They're invited already.
That’s your own address.Different spellings of your own inbox count as you.
Every seat is taken.Remove someone, or move to a plan with more seats (see Change your plan).
That was a lot of invitations. Try again later.Invitations are limited each day, per account and per address.

Remove someone

Press Remove next to their name (or Cancel for an invitation). They're signed out straight away, and sign-in links already emailed to them stop working.

If they set up a site's WordPress key, On Remove, also disconnect the WordPress key they set up is ticked. Leave it ticked to make sure only your WordPress uses the key: that site then connects again with Connect with Sudwire. Members can also press Leave the team on their Account page.

Moving to a smaller plan

Members beyond the new plan's seats are paused, newest first. They stay on the list but can't sign in until there's room again: remove someone to make room.
